ITEM NUMBER

1. Posting Statements

Records of costs, inventories, and employee time for cost accounting.

Authorized Retention:

Retain for period of reference value, not to exceed five (5) years; then destroy. (Items kept at Printing Services.)

2. Charge Sheets

Records of charges made to printing jobs.

Authorized Retention:

Retain for a period of five (5) years; then destroy. (Items kept for approximately three (3) years at Printing Services, balance of time at Records Management.)

3. Work Authorizations

(Previously known as "Job Cards")

Form 260 from customer authorizing the production of a printing job.

Authorized Retention:

Retain for a period of five (5) years; then destroy. (Items kept at Printing Services.)

4. Job Envelopes

(Also known as "Job Tickets")

Records of all jobs done; samples, negatives, typed copies, signed blueprints, artwork, etc..

Authorized Retention:

Retain for a period of five (5) years; then destroy. (Items kept at Printing Services approximately four (4) years, balance of time at Records Management.)

5. Delivery Records

Signed receipts showing that a printing job was delivered to the customer.

Authorized Retention:

Retain for period of three (3) years; then destroy. (Items kept at Printing Services.)

6. Quick Copy Records

Requests and specifications for Quick Copy printing jobs, including the amount charged.

Authorized Retention:

Retain for a period of five (5) years; then destroy. (Items kept at Printing Services for approximately four (4) months, balance of time at Records Management.)
